GDPR & Privacy Policy

This Policy Notice is being provided in accordance with the GDPR which come into force on 25 May 2018.  It relates to the documenting of the personal data we currently hold and also in relation to maintaining these records  and records of your processing activities. 


What information do we collect about you?


As you are our Client, we have collected all of the above data in order to comply with Statutory regulations.  If you contact us for any reason, we may update your contact details and data and retain these details as provided to us, by you.  It is therefore important that any personal data we hold about you is correct and we would ask you to keep us informed if your personal data changes during the time that you are a Client of the firm. 


We normally collect your personal data through sight of your personal identification documents such as your passport or driving licence, bank statements, and utility bills which provide proof of address. We may also collect personal data information through conversations with you, either by phone or face to face, via emails or other communications you send to us.  We will only use this personal data in the following circumstances: -


How long will we keep your personal data?


We will retain your personal information for as long as it is necessary to fulfil the purposes for which we have collected it for, including the satisfying of any legal, accounting or reporting requirements. 


We would also like to retain your personal data so that we can write to you from time to time to notify you of any changes in the law insofar as it might affect you.  If you do not wish us to use your personal data for this purpose please let us know. 


Who do we share your data with?


We do not share your data with any other agencies other than those we are legally required to share such as when we obtain Anti Money Laundering clearance on Clients before we commence work on their instructions. In obtaining this clearance we use a search provider known as Smart search.   In some instances we may also be compelled to provide a Suspicious Activity Report (SAR) to the National Crime Agency in order to comply with the Money Laundering Laws or the Proceeds of Crime Act 2002. In these instances or in instances where we receive a Court Order for the production of documents we will need to provide personal data information to the relevant authority.


Where do we store your data?


All your personal data which is provided to us is stored securely on our computers at 62 Pinner Green Pinner Middlesex HA5 2AB and in your paper file which is stored in our offices or in our archives off site.  It will be stored and handled in accordance with all our data security policies. 


How do you obtain a copy of your personal data?

Change of purpose


We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we may need to use it for a reason which is compatible with the original purpose.  If you wish to get an explanation as to how the processing for a new purpose is compatible with the original purpose, then please contact us.  We will not use it for any unrelated purpose and your personal data will not be provided to any third parties for their use.

The Information Commissioners office can be contacted via their website www.ico.org.uk or by telephone on 0303 123 1113, however before you approach the Information Commissions Office, if you have got any concerns then please contact us in the first instance and we will do our best to allay your concerns. 


Changes to this Policy


We reserve our right to change this Policy and will notify you accordingly if we need to do this, or to update to comply with current practice or changes in the relevant law.
